The Cluster Groups & Events Executive supports the successful coordination and administration of all group bookings and events across the cluster hotels.

 

The role is responsible for handling enquiries, preparing event documentation, coordinating operational details, and ensuring a high level of client service throughout the event journey. The Executive plays a key role in supporting revenue generation and delivering seamless event experiences aligned with brand standards.

 

Key Responsibilities

Event Coordination & Administration

  • Manage Groups & Events enquiries from initial contact through to event completion 

  • Prepare proposals, contracts, BEOs, rooming lists, and event documentation accurately and efficiently 

  • Coordinate event requirements with operational departments to ensure smooth execution 

  • Maintain accurate client records and booking information within hotel systems 

  • Support the coordination of conferences, corporate meetings, weddings, social events, and group bookings 

 

Client Relations

  • Build and maintain strong relationships with clients through professional communication and follow-up 

  • Conduct site inspections and client meetings when required 

  • Respond promptly and professionally to enquiries and client requests 

  • Assist in ensuring all client expectations are met and exceeded 

 

Sales Support

  • Support the team in achieving departmental revenue targets 

  • Identify upselling opportunities for bedrooms, meeting space, catering, and additional services 

  • Assist with lead generation, follow-up activities, and business development initiatives 

  • Support preparation of sales reports and event forecasts 

 

Systems & Compliance

  • Ensure all booking information is updated accurately in Opera, Delphi, Meeting Broker, and related systems 

  • Maintain filing systems, contracts, and event records in accordance with company procedures 

  • Follow all company policies relating to health & safety, data protection, and operational standards 

 

Skills & Experience

  • Previous experience in hospitality, events, sales coordination, or hotel operations preferred 

  • Excellent organisational and multitasking skills 

  • Strong verbal and written communication skills 

  • Customer-focused with strong attention to detail 

  • Ability to work collaboratively across departments 

  • Proficiency in Opera, Delphi, Meeting Broker, and Cvent is advantageous
