Duties and Responsibilities 

As Groups & Events Manager, I will assume full responsibility for the efficient operation of the Sales & Marketing department to provide exceptional products and services within brand operating standards. My key role is to identify prospective customers and establish goals for key accounts by analysing historical and other statistical information for market segment, account mix goal. Moreover, I will analyse international & local market trends and competitor activity to recommend strategies that keep the hotel a leader in the marketplace through the development of future and repeat group business.

The duties and responsibilities will include: 

  • Sending groups and events offers coming direct to the hotel or through Sales Managers.
  • Perform day to day sales activity including lead generation, face to face meetings, contracting and rate negotiation, site inspections and client entertainment.
  • Attend MICE trade shows and industry events as required and file the sales trip report on return.
  • Responsible for producing weekly and monthly booking reports for G&E revenue. 
  • Lead and train the Group & Events reactive team, for them to efficiently look after the planning once contracts are signed. 
  • Proactively communicate with the DOS and DOSM in terms of group pace, pick-up, and conversion, highlighting issues and opportunities where necessary taking full accountability for the business and pipeline lifecycle.
  • Maintain good, positive, collaborative relationships with other departments across the hotel including Front of House, F&B, and Finance. 
  • Host pre-event meetings with clients and F&B team to introduce the operations team and coordinate last minute details. 
  • Proactively follow up with clients post event for feedback.
  • Manage multiple platforms, including Delphi.
  • Taking care of an accurate tracking of groups and events in the hotel booking systems. 
  • Organizing the follow up of groups and events offers to guarantee the highest possible conversion - if applicable in partnership with the specific Sales Manager.
  • Taking care of all converted groups and event bookings to guarantee the highest satisfaction for the client and the most successful handling through the hotel operations teams (incl. contracting, pre-payment, rooming lists, collecting event details, etc.).
  • Creating detailed and accurate groups & events function sheets and presents these during the weekly operations meeting to the hotel team.
  • Focusing on the maximisation of revenue & upsell opportunities. 
  • Guaranteeing an accurate forecasting including handling and arranging the groups & events pace report (to be updated weekly).
  • Overlooking the final billing process through the accounts department. 
  • Taking care of the follow up after the group and event departures to be able to generate repeat business - if applicable in partnership with the specific Sales Manager.
  • Being involved in the annual budget and commercial plan. 
  • Sourcing potential business opportunities (Sales & Marketing) and shares these with the relevant host.
  • Being involved in client entertaining opportunities (e.g. hosted lunches & dinners combined with site inspections) to ensure a strong partnership between the business partners and the hotel.
  • Acting as Account Manager for selected local and possibly national/international accounts.
  • Taking part to relevant department meetings to share and collect feedback of past and future groups and events bookings.
  • Presenting strategic options to the teams to ensure the budgets for groups and events is achieved.
  • Being flexible to take on other sales & marketing department related duties if applicable.
  • Covering the MoD (Manager on Duty) shift.
  • Perform any additional tasks given by DOS or DOSM.

Qualifications

To execute the position of Groups & Events Manager, I must have the required qualifications, technical skills and experience in a similar role in luxury hotels with proven results and includes the following: 

  • Possess some College plus 3 years Sales & Marketing related experience, with direct supervisory experience over a events team., or equivalent combination of education and experience. Bachelor’s degree in hospitality, Marketing, Hotel or Business Management and more than five years’ experience in a senior sales and marketing role are preferred. 
  • Fluent in English and Italian I understand that additional languages are preferred.
  • Eligible to work in Europe (EU Citizenship)
