We are seeking a detail-oriented and reliable Payroll Executive to join our Finance team. This role is essential in ensuring accurate and timely payroll processing, maintaining compliant payroll records, and supporting both employees and management with payroll-related matters.
You will play a key role in safeguarding confidentiality, ensuring compliance with statutory obligations, and contributing to the overall financial integrity of the organization.
Key Responsibilities
Review and verify employee timesheets, bonuses and deductions accurately and within payroll deadline
Review and verify agency employee timesheets and invoices
Maintain confidentiality of payroll data and ensure secure handling of sensitive employee information.
Coordinate with HR to process employee benefits, statutory deduction and payroll updates related to new hire, promotions or terminations
Maintain accurate payroll records and generate reports for management review, audits and statutory compliance
Ensure compliance with employment laws, tax regulations and statutory contributions requirements, including timely submissions
Support internal and external payroll audits by providing documentation and ensuring records meet compliance standards
Serve as the first point of contact for payroll-related employee inquiries, resolving discrepancies and explaining payslips, deductions and benefits.
Liaise with HR, Finance and department heads to ensure timely submission and approval of timesheets and payroll data
Identify and support improvements to payroll processes to enhance accuracy, efficiency and compliance
Provide team members of the finance team support when required, including processing invoices, reconciliations and internal auditing tasks
The employee shall perform any other duties reasonably assigned by management that are consistent with the scope and level of the position
Qualifications, Skills & Attributes
A relevant qualification in Accounting, Finance, Business Administration, Human Resources, or a related field is considered an asset
Minimum of 1 year of experience in payroll or a similar Finance/HR-related role is required
Excellent command of English (written and spoken) is required
Knowledge of Maltese and/or Italian is an advantage
Strong written and verbal communication skills, with the ability to explain payroll matters clearly and professionally
Proficiency in Microsoft Excel is essential
Familiarity with payroll systems particularly Shireburn Indigo and UKG Pro is advantageous
