JOB OVERVIEW:

Coordinate services for clients and in-house guests and provide administrative and sales support for the department.

DUTIES AND RESPONSIBILITIES:

  • Main Lead Catcher for Group Enquiries and assignment of leads to group Sales Managers.
  • Respond to client calls and special requests and obtain final details, dates, times, and hotel room and meeting room requirements.  Regularly follow-up with clients and maintain accurate and updated information. 
  • Perform administrative duties such as typing proposals, letters, contracts, etc.     
  •  Collect data, update databases, and complete departmental monthly reports.
  • Resolve requests and/or complaints to the satisfaction of the guest; inform supervisor of major problems, complaints, disturbances or dissatisfied clients. 
  • Promote teamwork and quality service through daily communication and coordination with other departments.   Coordinate details with other departments such as VIP amenities, special requests, or other service needs or special handling.
  • Regularly follow-up to ensure set-up requirements meet client needs. 
  • Perform other duties as assigned (guest room tours, property tours, special guest requests, maintaining calendars, answering phones and routing to appropriate sales staff, handling of mail, faxes, etc.)
  • Provide administrative support to specialty markets & sales department
  • Complete tasks related to groups & VIPs
  • Create files for group turnovers
  • Answer phone calls to qualify business
  • Process commission requests
  • Run Transient Production Reports
  • Order Kosher Meals, Coat check, Furniture, Flowers, etc
  • Process expense reports
  • Walk Showrooms and VIP Arrivals 
  • Site Visit Support
  • Personalized Welcome Amenities for VIPs
  • Running Arrival Reports in Opera 
  • Need to have strong customer service and communication skills and can anticipate and meet the needs of clients
  • Handles/ responds to inquiries or questions when Director is not available
  • Assists in servicing VIP guest reservations 
  • Communicate with client and plan any necessary details with regards to their room block and work as a liaison between client and hotel operating departments
  • Create group resumes as needed
  • Assist with special projects
  • Other duties as assigned by Director 

 

This job requires ability to perform the following:

  • Frequently standing up and moving about the facility
  • Type at least 50 wpm; proficient PC computer skills
  • Carrying or lifting items weighing up to 25 pounds
  • Communicating with customers, employees, and third parties
  • Use a keyboard to generate correspondence, reports, etc.
  • Handling objects, products and computer equipment

The salary range for this role $21.00 - $27.00 USD hourly. This range is only applicable for jobs to be performed in New York City, NY. This is the lowest to highest pay scale we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the pay range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs.
